In order to ensure a smooth shipping process it is important to prepare the right documentation. For every order you need 2 types of documents:
1) Labels
2) CMR documents, also called a waybill or consignment note
You don't have to arrange these documents yourself, you can easily download them from the Quicargo platform.
Labels
By correctly labeling your goods you will ensure that the handling of your goods is conducted appropriately, your cargo meets the required shipping regulations, receivers are able to identify your shipment and that you are complying with safety standards.
Please be aware that incorrect labeling can lead to delays, shipping damage or even loss in the worst case, all resulting in high cost and time loss.
- When printing your labels, please make sure that everything is clearly legible and you do not fold the part with the barcode so that the barcode can be properly scanned. You also need to remove all old labels to avoid any mixup in the shipping process. Please do not stick tape over your label.
- When labeling your pallet, please adhere two identical labels per pallet, on opposing fork entry sides (on the side of the pallet).
- Please place the label in a vertical position, make sure it is not crooked or creased.
- For full pallets, please do keep in mind that your label must be placed on the outside of the stretch-wrap in order to be scanned properly.
You can download your shipping labels directly from the Quicargo platform in the order overview. See below:
CMR document
CMR is also known as CMR consignment note. It is a document used for the regulation of road freight transport, and serves as an international agreement. For every pallet order you will need to print the consignment note. Every consignment note contains 3 copies:
1) For the pickup location, proof of receipt;
2) For the driver;
3) For the delivery location, proof of delivery (POD);
You as a shipper are responsible for drawing up the consignment note. As the requester of the transport, you are the party that can provide the information about the goods and about the transport arrangements. You can also request another party in the arrangement to draw up the documentation, for instance your distribution location or warehouse. You have to make sure that the CMR contains all the right documentation for the carrier to execute the transport.
The driver of the carrier signs for receipt of the goods and hands over the part intended for the sender (proof of receipt). Of course, the driver takes the other copies with him during the transport.
On arrival at the delivery address, the driver of the carrier hands over the consignment note to the consignee. The consignee thus becomes a party to the contract of carriage. The consignee signs for receipt, keeps his part of the consignment note for his records and hands over to the driver the part intended for the carrier as proof of delivery.
The carrier often encloses a copy of the proof of delivery (POD) to support the freight bill for the sender.
Important note: if your goods are not delivered in good condition i.e. they are damaged or parts are missing it is important to note it on the consignment note. Without a note of damage or missed goods you are not able to start a claim. The main reason for this is that you will need to prove that the carrier has damaged the goods while in transit. If the damage was not noted by the driver on the proof of receipt and the delivery location notes it on the proof of delivery you can prove that it happened during transport.
You can print the CMR for your order in your active order overview. We have recorded a video on the use of the CMR in the Quicargo platform.
